Client Experience Specialist

At Nordic Luxury, we curate extraordinary travel experiences across Iceland and the Nordics for discerning guests who expect nothing less than excellence. As a Client Experience Specialist, you will be at the center of our service promise ensuring every detail is handled with care, precision, and discretion.

You’ll work closely with our operations team, guiding travelers through each step of their journey and being their trusted point of contact. This role requires a genuine passion for hospitality and the ability to thrive in a fast-paced, dynamic environment.

This position involves shift-based work, including standby duties during nights and weekends, to ensure round-the-clock support for our travelers.

Main tasks and responsibilities

What You’ll Do

  • Deliver outstanding service by communicating with clients via phone, email, and messaging platforms, providing attentive and personalized support throughout their travels.
  • Solve challenges gracefully through the management of last-minute itinerary changes or unexpected situations with calm problem-solving and meticulous organization.
  • Manage and confirm restaurant and activity bookings, ensuring special requests (dietary needs, celebrations, last-minute changes) are handled with precision. Maintain accurate and up-to-date records of all reservations.
  • Work closely with our Operations team to ensure flawless execution, assisting during peak seasons and coordinating with trusted partners.
  • Liaise with hotels, transport providers, and experience partners to verify details, secure arrangements, and ensure flawless delivery ahead of client arrivals.
  • Participate in shift work, including nights and weekends, to maintain our around-the-clock service promise to clients worldwide.
Educational and skill requirements

What You Bring

  • Proven experience in providing high-touch customer service, with a genuine commitment to anticipating client needs and exceeding expectations.
  • Strong communication skills and an ability to connect with clients.
  • Ability to remain calm under pressure with sound judgment and decision-making in complex or time-sensitive situations.
  • Strong organizational skills with the ability to manage multiple priorities and maintain accuracy in all documentation.
  • Technical fluency with booking platforms, CRM systems, and digital communication tools. (Familiarity with Salesforce / Safari Portal / Asana is a plus)
  • Familiarity with travel logistics, supplier coordination, and Nordic destinations.
